Getting Microsoft Word, Excel, PowerPoint and Outlook onto a Mac is straightforward once you know the steps — but two things reliably trip people up: choosing the right version, and the Microsoft account that ties it all together. Get those two right and the rest is just a download. Here’s the whole process, start to finish. (And if you’d rather skip it, we’ll happily do the lot for you — more on that at the end.)
🔑 When we do this for you: what we’ll need from you
Because Office is tied to your Microsoft account, there are a few moments where only you can complete the step — we’ll need your sign-in, a verification code, or your payment. It’s ideal if you can be with the Mac (with your phone handy) for these, or bring your details when you drop it in:
- Your Microsoft account password — to sign in when creating the account, downloading, and activating. You set and keep this password; we don’t need to keep a copy.
- A two-step verification (2FA) code — Microsoft will text or email you a code, or ping your Authenticator app, when signing in on the Mac. You’ll need to approve it or read us the code. Have your phone with you.
- Your payment — at purchase, you enter or authorise the payment. We never key in your card details for you.
- Recovery access — if the account password has been forgotten, resetting it needs the recovery email or phone on the account, which only you can access.
Step 1: Choose the right Office — subscription or one-off
There are two completely different ways to buy Office, and it’s worth picking deliberately:
- Microsoft 365 (a subscription, paid monthly or yearly) — you always get the latest versions of the apps, Outlook included, plus 1 TB of OneDrive cloud storage, and you can install it across several devices. Best for most people, especially if you want email and cloud storage too.
- Office 2024 (a one-off purchase you own forever) — no ongoing fee, but it’s locked to that one version, for one Mac, with no cloud extras. Note that Office Home 2024 includes Word, Excel, PowerPoint and OneNote but not Outlook — for Outlook in a one-off purchase you need Office Home & Business 2024.
Important compatibility note: the one-off Office 2024 requires macOS 14 (Sonoma) or later. If your Mac is on an older macOS, the standard download won’t install — which is exactly the kind of thing worth checking (or asking us) before you buy.
Step 2: Set up a Microsoft account
This is the part people underestimate. Your Microsoft account is the key to everything — it holds your Office licence, and it’s what you’ll sign in with to install and activate the apps. Modern Office doesn’t really use product keys any more; it’s all tied to this account.
- In a browser, go to account.microsoft.com and choose to create an account (or sign in if you already have one).
- You can use any email address you already own, or create a new free
outlook.comaddress as part of signing up. - Set a strong password and, ideally, turn on two-step verification for security.
👤 We’ll need you here: this step creates or signs in to your account, so we’ll need your email and password — and if two-step verification is on, the code Microsoft sends to your phone. Write these details down and keep them safe. If you lose access to this account later, you lose access to your Office licence.
Step 3: Buy the software
With the account ready, purchase your chosen version from microsoft.com (or let us sort it in-store). The golden rule: buy or redeem it while signed in to the Microsoft account you set up in Step 2, so the licence lands on the right account. If you bought a boxed or card version, you’ll “redeem” its code against that same account.
👤 We’ll need you here: you enter or authorise the payment yourself — we never key in your card details.
Step 4: Download and install on the Mac
- On the Mac, open a browser and sign in to your Microsoft account. For a subscription, head to the Microsoft 365 apps page; for a one-off purchase, go to Services & subscriptions in your account.
- Click Install apps (or Install). A
.pkginstaller downloads to your Downloads folder. - Open the
.pkgand follow the installer prompts. (You can choose Customise if you’d like to leave out apps you won’t use.) - The suite installs into your Applications folder — this part can take a little while, as the download is sizeable.
👤 We’ll need you here: signing in to download often triggers another verification code to your phone — so keep it close by.
Step 5: Activate it
Open Word (or any Office app) from Launchpad. On the welcome screen choose Get Started and sign in with the same Microsoft account you bought the licence with. That’s it — it activates and you’re ready to go. You can double-check anytime in Word > File > Account, which shows whether you’re running Microsoft 365 or Office 2024.
👤 We’ll need you here: activation signs in with your account one more time — password, and a verification code if prompted.
One gotcha for one-off Office 2024: during activation, don’t start a Microsoft 365 free trial, and make sure you’re not already signed in to a separate Microsoft 365 account — otherwise it may try to activate a subscription instead of your perpetual licence.
Quick troubleshooting
- Won’t install? The usual culprit is macOS being too old — check your version against the product’s requirements (Office 2024 needs macOS 14+).
- Keeps asking you to activate? Make sure the Mac is online and that you signed in with the exact account the licence is on. Stubborn cases are usually fixed by clearing old Office sign-in data.
- Installed the wrong version? If it launches an older Office than you expected, you’ve likely grabbed a mismatched download — worth getting a second pair of eyes on.
Frequently asked questions
Yes. Modern Office is tied to your Microsoft account rather than a product key — the account holds your licence and is what you sign in with to install and activate the apps. Set one up at account.microsoft.com before you buy.
Microsoft 365 is a subscription that always stays up to date, includes Outlook and 1 TB of OneDrive, and covers several devices. Office 2024 is a one-off purchase you own but it’s a single fixed version for one Mac with no cloud extras. For most people wanting email and cloud storage, 365 is the easier choice.
Microsoft 365 always includes Outlook. Among the one-off versions, Outlook comes with Office Home & Business 2024, but not with Office Home 2024 — so choose Home & Business (or Microsoft 365) if you want email.
At a few points, yes — signing in to your Microsoft account to download and activate needs your password, and often a two-step verification code sent to your phone. You keep your password; we just need you (and your phone) on hand for those moments, and you enter any payment yourself.
